Troubleshooting & reconciliation
The field-tested playbook. Work top to bottom.
A line doesn't match the source's report
- Same basis? Confirm the source report's accounting basis (accrual vs cash) and filters match what Larch pulls (accrual, whole organisation).
- Books moved? Bookkeepers reclassify. Run a sync (or wait for tonight) — changed months re-pull automatically; unchanged months are fingerprint-skipped.
- Sign flipped? The classic: a line shows the right magnitude, wrong direction, and a total is off by exactly twice the line. Open the batch panel — compare the raw amount to the source. Raw matches but statement doesn't → the mapping's inversion is wrong: re-save the account (toggle "arrives inverted") and refresh. Fixes every month at once; no re-sync needed.
A month is missing / YTD warns about gaps
That month was never committed. Check Data Sources for a pending batch (map its new accounts, Re-parse, Commit) or sync the month manually.
Balance Sheet won't balance
The gate names the delta. Usual causes: a P&L account in the TB not mapped to Current Year Earnings; a liability mapped onto an asset line (look for an asset line that grew by the liability's amount); or an inverted mapping. The TB batch panel shows every account and destination.
Nightly sync says "pending review"
A new account appeared in the books. The attention email links the batch; map the account, and the next night commits everything itself.
"Reconnect Xero" errors
Token expired beyond refresh, or Larch needs a permission granted after you first connected. Data tab → Disconnect → Connect. Nothing is lost.
Zero rows / dashes
Dashes are zeros; fully-zero rows hide themselves. A line you expected to see has no activity in any visible column — widen the period to check.
